Neepawa United Church Board Meeting

Present: Kristin Woodburke, Ella Jarvis, Bev Finlayson, Ruth Hanke, Judy Elgert, Donna Newton, Brian Bailey, Maurice Kaye, Bert Lowry, Bob Durston, guest Sheila Bremner

1.     Acting Chairman Bert Lowry called the meeting to order at 7:00pm. Donna Newton agreed to take the minutes.

2.     Kristin Woodburke gave the opening Meditation.

3.     The acceptance of the agenda was moved by Ruth Hanke and seconded by Judy Elgert. Carried

4.     Corrections of the November 17th minutes – Ministerial report (page 2M) “Kristin missed 1 Sunday Service within her holidays and a second because of illness.”  The Minutes were adopted as corrected by Brian Bailey and seconded by Ella Jarvis. Carried

5.     Correspondence –1.) letter presented by Sheila Bremner on behalf of the Beautiful Plains School Division requesting the use of the CE for “Step Together” (formerly the Step Two Program run through the Regional Health Authority) which would run the 2nd and 4th Mondays during January to May for 9 sessions.  A motion was made by Brian Bailey and seconded by Ruth Hanke that we approve the use of the CE for the Step Together program run by the Beautiful Plains School Division  the 2nd and 4th Mondays (January – May 2016) for 9 sessions for a $200 fee.  Carried.  2.) Kristin Woodburke received information from “Edge” that the Church can apply for a Canadian Summer Job grant.  The applications have to be completed between Jan. 4th to February 26th.  The grant would pay minimum wage and benefits for a student working during the summer.  To be revisited in January.  3.) FYI - Kristin Woodburke received request for advertizing in a Missing Kids Magazine.  After researching decided not as portrayed so would not be contributing.

6.     Committee Reports –

a)     Pastoral Care – Ruth Hanke reported in November there were no sympathy cards, 4 get well cards and 6 anniversary of a death cards sent.

b)     Mission & Service – no report

c)      Ministry & Personnel – Brian Bailey reported that Leslie Dyke attended workshop as reported last meeting.  She will be receiving $12.50 per hour. Kristin Woodburke will be taking a course during the Study leave January 25 – 29, 2016, but no holidays as previously reported.

d)     Treasurer – As of Nov. 30th the income was $154,582.88, expense was $145,209.23 leaving a balance of $9,373.65. The treasurer’s report was circulated and Judy Elgert and Brian Bailey moved and seconded the adoption of the report.  Carried.  .  It was moved by Judy Elgert and Brian Bailey that if there is a shortfall in the Mission &Service givings for 2015 that Bob Durston be authorized to pay the budgeted amount.  Carried.  Discussion on the proposed budget for 2016 was held.  We suggest to Bob Durston that the Pastoral Charge payment should be recorded as $84,000 dollars and to balance the budget increase the fund raising line accordingly.  It was moved by Ruth Hanke and seconded by Bev Finlayson that we increase the cost of Brunch to $8.00.  Carried.  It was moved by Judy Elgert and seconded by Ella Jarvis that we accept the Neepawa and Area Partoral Charge Budget as presented.  Carried.

e)     Property – 1.) Maurice reported on the “lift”.  The quote from C.H.C.P. Elevator Winnipeg is $37,937 (tax exempt). The estimated electrical quote from John’s Electric is $895 plus taxes.  Removal of the concrete etc. to prepare for the installation of the lift by Square one is $14,700.  Work could commence beginning of February and take 3 to 4 weeks.  A motion was made by Brian Bailey seconded by Maurice Kaye that we have the lift replaced by CHCP Elevators, John’s Electric and Square One Construction for the estimated cost of $53,532 plus applicable taxes.  Carried.  Donations will be accepted for the Lift replacement, which will be mentioned from the pulpit Sunday morning.  2.) Maurice had researched additional lighting for the parking lot on the east side of the CE.  He received a quote from John’s Electric.   Ruth Hanke and Maurice Kaye moved and seconded the motion to have John’s Electric replace the lighting in the parking lot for $525 plus taxes.  Carried.

f)      UCW – Bev Finlayson reported the final installment to the Board of $10,000 has been made.  A successful Christmas Party was held with the offering donated to the Adult Day Program operating at Country Meadows and Yellowhead Manor for craft supplies.  Christmas Goody trays to be prepared and delivered tomorrow.  Donna Newton will be the new president for UCW starting in January 2016.  Brian Bailey requested a vote of thanks for all the work the UCW members do for our Church.

g)     Ministerial – Kristin Woodburke reported no funerals in the past month.  There has been many hours spent planning for Advent and the Christmas season.  She reported work being done on the possibility of hosting the Zeebu Youth Retreat.  A motion was made by Kristin Woodburke and seconded by Donna Newton that we offer to hold the Zeebu Youth Retreat in February 2017.  Carried.  Also some talk about being involved in helping to sponsoring a Syrian refugee family.

h)     Trustees – Judy Elgert reported that John Forke and Don Schmall have worked out requirements with Insurance Company concerning the Abuse policy so they will to continue to insure the church, and bill has been paid.

i)       Worship – Kristin Woodburke reported Christmas morning Service baggies complete, Carolling on Wed. The 16th at 6:30, Nativity Figures that are in the Narthex were donated by Jill Bannerman and will be moved to the sanctuary as part of this week’s service,  The Blue Christmas service on the 17th will have other churches involved.  No organist on Dec. 24th or 27th.  The “Hims” will provide some of the music on the 24th as well as recorded music.  There will be chimes following service on Dec. 24th as requested.  Jan. 6th will be an Epiphany Service with fellowship time to follow.   Kristin Woodburke moved and Brian Bailey seconded the motion to approve the baptism of Novalee Ashley Menzies daughter of Dana & Justin Menzies on January 10th.  Carried.  Kristin Woodburke and Bob Durston moved and seconded to accept the following transfers from Arden United Church; Bruce Francis, Sharon Russell, Louise Dear, Leah Dear, Alanna Madsen, Margaret McGorman, Jane Wood, Doug & Joan Popkes, Donna Richardson, Jean Jackson, and Rod & Doris Shuttleworth. Carried

j)       Presbytery – Ella Jarvis gave no report as there had not been a meeting.

k)     Special Reports –

Pastoral Charge report was given by Brian Bailey. Everyone was pleased to have approved the 2016 budget. The office will be closed Dec. 25th – Jan. 4th.  Leslie has arranged for new copy machine that is connected to the computer is efficient and costs less.  With on 4 members on the Board, they are considering appointing one more from each point.

Time and Talent Auction – Donna Newton reported a very successful evening.  There were 42 live auction items and 18 silent auction items.  We realized a profit of $6416.17.  Thanks to all who donated items as well as assisted in any way.

l)       It was moved by Donna Newton and seconded by Ruth Hanke that we accept all reports.  Carried.

8. New Business – It was moved by Bob Durston and seconded by Ella Jarvis that the Neepawa United Church Annual Congregational meeting be held February 7th following Brunch.  Carried.

Motions
