Neepawa United Church

December 10, 2017

1. Call to order – Bert called the meeting to order at 12:30pm

2. Kristin led us in an opening prayer.

3. Changes to the Agenda: 7b) Same Sex Marriage at a later meeting; Change 7b) to Larger Parish Budget; Add 8e) Annual General Meeting

Adoption of the Agenda – Brian Elgert moved adoption of the amended agenda, 2nd by Donna. Carried

4. Adoption of the minutes – Brian Bailey moved adoption of the Nov. 21, 2017 minutes, 2nd by Judy.


5. Correspondence

- A thank you from Brad Meyers for the gift he received for being the auctioneer at the Time and Talent Auction.

- A thank you from the Presbytery Oversight Committee for the pastoral oversight visit that members of our church made to Trinity United Church in Portage this past year.

6. Committee Reports:

A) Pastoral Care - no report

B) Mission & Service – Susan reported that the Committee is looking at ways to raise awareness in our congregation of world issues. A mitten tree is in the Narthex with items collected being donated to the Salvation Army.

C) Ministry & Personnel – Brian Bailey reported all OK. Bert will check with John Douglas re: Doug guy’s wages.

D) Treasurer – Bob reported that due to lower maintenance costs this year and approximately $5,000 from the Time and Talent Auction, we have a surplus at the end of Nov. Bob also emphasized how important the yearly UCW donation of $12,000 is to the Church. Without them the Church would likely be running at a deficit. Bob sent thanks to the UCW for their donation.

Moved by Bob, 2nd by Judy. That the Treasurer’s Report be adopted. Carried

- A question arose about the need to top up the M&S amount to equal the $15,000 budgeted. Bob estimated that the M&S donation amount would be at $15,000 by year end and there will be no need to top up to reach that amount.

E) Property – no report

F) UCW – Donna reported that the UCW donated a further $7,000 to the Board. The offering from the UCW Christmas Party was $380.00 and will be donated to Victoria Quilts. Unit 2 has disbanded, leaving 3 UCW units. Rental fees for the kitchen were discussed.

G) Ministerial

Kristin reported that she has a busy schedule for the next couple of weeks but things are in hand.

H) Trustees – John Forke sent a report with Bob. The insurance has been approved for 2018 and the bill is nearly the same as last year. We are fully covered but the Church should have a new evaluation in the next few years.

I) Worship Committee –Judy reported that the Committee is meeting Monday to prepare Christmas Morning baggies. The Worship Committee will look after watering the poinsettias in the Church.

6J) Stewardship

- A second stewardship letter has been sent out to several people requesting an annual donation or commitment. Kristin is phoning to thank people who have donated to the Fall Stewardship Campaign. Several Board Members volunteered to do some phoning.

- The UCW would like the Stewardship letters to go out around Thanksgiving next year to avoid being sent out so close to the Fall Supper.

K) Presbytery

-Susan reported that the Presbytery met in November. The next meeting is in Feb. A second rep is needed to replace Rowena Powell.

L) Special Reports

- Carolling will be on Wed. Dec. 13. Meet at the CEC at 6:30

- The Hims sang at the Presbyterian Church luncheon on Dec. 7

- The Hims will be singing at the Dec 24 morning service.

M) Acceptance of all reports was moved by Brian Elgert, 2nd by Ella. Carried


7. Old Business:

A) Remit 6

The Pastoral Charge unanimously voted against Remit 6, One Order of Ministry

B) Larger Parish 2018 Budget

C) Updated Rental Rate Suggestions

- Donna, Dawn, Bert and Kristin met and came up with a proposed rental fee schedule for church facilities and donation guidelines for funerals and weddings. Discussion led to thoughts that a few items may need to be revised. Donna, Jane, Susan and Bob will meet before the next Board Meeting in Jan. to make revisions.

- There is a request from the Filipino Church of Christ to use the CEC every Thursday in the morning and evening. There was a motion made and passed to allow the use at our current rates for Jan. and Feb. If the CEC is required for a United Church funeral, the Church of Christ can use the basement of the CEC.


8. New Business

A) Spring Supper

The Spring supper will be on Sunday April 15, 2018 with a menu to be decided.

B) Intern Budget

Information was provided about getting an intern.

- The cost for an 8 month internship would be approximately $30,000. There are funds to cover this: $10,000 from General Council, $18,000 from the Pastoral charge Intern Account and $5,400 from Neepawa United Church Brody Intern Fund.

- Apply by May 15 for Sept. start up and Oct. 15 for Jan. start up.

- Rita is qualified to supervise an intern and is willing to do it at no cost.

- Table discussion until Jan. Board Meeting .

C) Outside Music on Christmas Eve

There will be outside music on Christmas Eve. Nick Eu and David Elgert will look after it.




8D) Peggy Reid’s Retirement/Farewell

- Peggy Reid, the United Church minister at Carberry is retiring.

- The farewell for her is at the Carberry United Church after church service on Dec. 31.

- A motion was made and passed that we donate $100 towards her retirement gift.


E) Annual General Meeting

-The Annual General Meeting will be on Feb. 4, 2018 as part of the church service. A brunch will follow.

- All reports for the AGM booklet should be handed in to the office by Jan. 15 in order to have the booklet ready for the Jan 28 service.

#1 Motion made by Bob Durston seconded by Susan Phillips that we advise the Filipino Church of Christ that we approve rental of the CEC for their Jan & Feb meetings at a fee of $185 per Thursday (morning and evening service) and if a United Church funeral needs the CEC on a Thursday, the Church of Christ can use the basement of the CEC. Carried


#2 Motion made by Brian Elgert and seconded by Judy Elgert that the Neepawa United Church Board donate $100 toward Peggy Reid’s gift for retirement. Carried
