MEETING OF THE BOARD

Neepawa United Church

Present: Bert Lowry(via Facetime), John Lea, Bob Durston, Nora Kaye, Brian Bailey, Linda Hart, Judy Elgert, Pat Fedoruk, Susan Phillips, John Douglas, Betty Ebner, Jan Bailey, Jane Goudie

 

1. Call to order – Jane called the meeting to order at 7:05 p.m. Bert joined us soon after via Facetime and chaired the remainder of the meeting.

2. Opening Meditation John Lea led a discussion on Epiphany.

3. Adoption of the Agenda – John Douglas moved adoption of the amended agenda, seconded by Judy.

Carried

The amendment was to remove #5, Timely discussion, from the agenda.

4. Adoption of the Minutes – Brian Bailey moved adoption of the Dec. 17, 2019 minutes, seconded by Betty.

Carried

Business Arising from the Minutes:

a) The rental of the CEC to the Church of Christ on Dec. 29/19 was approved and all went well.

b) Bert reminded us that new Board Members should be members of the Church.

c) John Douglas has agreed to stay on as the Property Board Member. The Board is looking for someone to help in this position.

 

5. Correspondence

A) Sanctuary Rental Request

A request has been made to rent the sanctuary and CEC for a wedding on March 14, 2020. A motion was made and passed to allow the rental.

6. Committee Reports

A) Pastoral Care – Betty Ebner reported that the following cards were sent in Dec.

B) Mission & Service Susan has sent the application for video licensing.

 

C) Ministry & Personnel – Brian Bailey reported.

The Ministry and Personnel Committee is still searching for an additional member from the congregation. Special thanks to those who filled in during Dawn Gardy’s two days of special leave on Dec. 19 and 20. (Ruth Hanke, Susan Phillips). Also special thanks to Rita Friesen for being “on call” during the Christmas season. Thankfully, her services were not required during that time. We are truly blessed to have so many wonderful volunteers amongst our Church family.

 

 

6D) Treasurer – Bob Durston reported

- The T4A and T4A summaries have been mailed in.

- The annual assessment has been revised and Bob will be paying $6,244 to the United Church of Canada.

-Bob distributed the year end Dec. 31, 2019 Financial Report. Exhibit A shows the income/expenses for the year, Exhibit B shows year end balances in the Memorial, Intern and Building Funds, and Exhibit C shows the Balance Sheet.

- Bob commented that the M&S donations were more than $15,000 and did not have to be topped up.

Surplus $ 21,628.41

Bob noted that $18,000 of the surplus was due to donations from the UCW and thanked them for all their work.

Moved by Bob, seconded by Jane that the Treasurer’s Report be adopted. Carried

- Bob also presented the 2020 proposed Neepawa United Church Budget.

 

E) Property John Douglas reported.

- John has submitted the Property Report to Dawn for the Annual Report.

- A motion was made and passed to have the painting completed in the kitchen.

- If the UCW goes ahead with a new fridge in the kitchen, the Board agreed to pay for the new fridge and repair the east wall in the kitchen if any cupboards need to be altered.

 

F) UCW Jan reported.

- The UCW packed and delivered 44 single, 19 double and 4 family cookie trays on Dec. 18.

- A Soup/Biscuit/Pie Lunch and Bake Sale is being planned for Feb 20 at 11:30 am

 

G) Pastoral Charge Supervisor’s Report

- John Lea reported that he is preparing a report for the Annual Report.

 

H) Trustees

I) Worship Committee – Pat Fedoruk reported

- The Worship Committee met on Jan. 14, 2020. The annual membership roll has been completed. As at Dec. 31, 2019 there were 46 non-resident and 219 resident members(total 265). A motion was made and passed to accept the membership report.

- Pat attended the Jan. 19 service and pot luck to mark the beginning of Christian Unity week. She reported that there was a poor attendance.

- The Neepawa Ministerial has laid out services for Lent, to be shared by the local churches. Each host church is to provide music, ushers and a soup and bun lunch. Services start at 12:10 pm. Neepawa United Church has been asked to host the March 25 service. We have also been asked to host the Good Friday service at 10:30 am on April 10, providing music and ushers. This is our turn on the rotation. Lenten Wednesday Service Schedule: March 4- Baptist(to be confirmed), March 11-Calvary Chapel, March 18-Roman Catholic, March 25-Neepawa United, April 1-Anglican. A motion was made and passed to host the March 25 Lenten Service. A motion was made and passed to host the Good Friday Service on April 10.

- The next tentative communion date is March 8. In the next while during Sunday services, we will be circulating sign up sheets for additional communion servers and ushers, and potential scripture readers.

- Our Feb. meeting will focus on Sunday Lenten services and Holy Week music. Beyond that, we will be looking for direction on summer services.

J) Stewardship It was decided that thank you phone calls will be made to donors from 2019. Bert, Pat,

Susan, Betty, Jane and Jan volunteered to help with the phoning. When the list is ready, Bob will get it to

Jane who will divide the names among the phoners.

K) Prairie to Pine Region –Susan had nothing to report.

 

6L) Special Reports - nothing

 

M) Acceptance of all reports was moved by Bob and seconded by John Douglas. Carried

 

7. Old Business

A) Annual Meeting Feb. 23, 2020

- Linda will revise the Agenda with Dawn’s input.

- Bert submitted his Chairperson’s Report along with the Nominating Committee Report. There are vacancies for Vice Chair and Stewardhsip.

 

8. New Business

The M&P Committee along with the Committee of John Lea, Jane Goudie and Brian Bailey will be working on the details of who in our congregation needs to obtain the necessary Criminal Records checks and Child Abuse Registry checks. The Board is paying for the costs.

 

9. Moment of Levity – Brian Bailey shared a moment of levity.

10. Next scheduled Board Meeting is March 17, 2020 at 7 pm.

11. John Lea gave a closing prayer

#1 Motion made by John Douglas and seconded by Susan Phillips. That the Neepawa United Church rent the sanctuary on March 14, 2020 to Kathrine Calucod providing satisfactory arrangements can be made.

Carried.

#2 Motion made by John Douglas and seconded by Jane Goudie. That the Dale McBain quote for painting be accepted. Carried.

 

#3 Motion made by Pat Fedoruk and seconded by John Douglas. That the Neepawa United Church Board approve the changes made to the 2019 annual membership roll. Carried.

 

#4 Motion made by Pat Fedoruk and seconded by Nora Kaye. That the Neepawa United Church host the March 25, 2020 Ministerial Lenten Service and pay for expenses for music, lunch and sound (if required).

Carried.

 

#5 Motion made by Pat Fedoruk and seconded by Jan Bailey. That the Neepawa United Church host the Ministerial Good Friday service on April 10 and pay expenses for music and sound. Carried.
