MEETING OF THE BOARD

Neepawa United Church

March 12, 2019

 

Present: Bert Lowry(via internet), John Lea, Bob Durston, Pat Fedoruk, Susan Phillips, Brian Bailey, Jane Goudie, Judy Elgert, Ella Jarvis, Jan Bailey, Linda Hart

 

1. Call to order – Jane called the meeting to order at 7:10. (There were problems connecting to Bert via internet at first).

2. Opening Meditation John related a humorous story and presented a reading for the first week of Lent. He then offered an opening prayer.

3. Adoption of the Agenda – Bob moved adoption of the agenda, seconded by Brian Bailey. Carried

4. Adoption of the Minutes – Bob moved adoption of the corrected Feb. 19, 2019 minutes, seconded by Ella. The correction was to change Motion #2 on page 3 to “made by Pat Fedoruk”. Carried Carried

5. Correspondence

- Rita sent a report of her activities for February: Country Meadows – 12 visits; Homes - 14; Elks Manor – 4; funerals - 2; Sunday services – 4; hospital visits-4; M&P meeting – 1; Kinsmen Kourts service – 1

- The Committee on Community of Faith and Support sent notice that the motion to disband the Neepawa and Area Larger Parish was passed by the Prairie to Pine Region Commission. Brookdale United Church and Neepawa United Church will be recognized as separate Pastoral Charges effective April 1, 2019.

 

6. D) Treasurer – Bob distributed the statements to Feb. 28, 2019

Income $22,128.75

Expenses $23,877.35

Deficit $ 1,748.60

Moved by Bob, seconded by Susan that the Treasurer’s Report be adopted. Carried

- Bob will order 3000 envelopes from the Banner to replenish supplies.

- A motion was made and passed to accept the Proposal for Distribution of Financial Assets of the Neepawa and Area Pastoral Charge.

 

Bert took over as chair at this point once the internet connection was made.

6 A) Pastoral Care – No report

B) Mission & Service Susan reported that the Lenten Calendar is available for this year. There is also a list of non-food items that the Salvation Army needs.

C) Ministry & Personnel – Brian Bailey presented two motions recommended by the M&P Committee.

A motion was made and passed that the Neepawa United Church mail be picked up by the Church Secretary and distributed to the appropriate person.

A motion was made and passed that those doing Church business use the second office thus leaving the main office available for daily traffic.

- Brian pointed out that once we have changed from a larger parish to a single point charge, we will need to change the responsibilities of the office manager. Brian suggested that a small committee be formed to outline these duties.

A motion was made and passed that Dawn Gardy be employed as Office Manager for the Neepawa United Church effective April 1, 2019.

- All the required paper work has been done to place Dawn on the payroll program for our Church. We are waiting for a reference number from the United Church of Canada.

 

 

 

6E) Property Brian reported for John Douglas.

- The addition to the sound booth has been completed. We need a tripod for the video camera.

- A representative from Rolling Spokes came to the Church and recommended access to the choir loft by installing a lift on the north side of the loft. A quote is forthcoming.

- There was a Church inspection for insurance purposes today

- The roof was cleared of snow on Monday. The bill will be sent to the office. Bert will call John Douglas to see if he is satisfied with the job.

 

F) UCW Jan reported that the Nearly New Sale is on April 5 and 6. New racks will be purchased as required. Hours are extended to Friday 11 to 6 and Sat. 9 to 2. Extra help is needed at 3 pm on Saturday to pack up and load vehicles.

- The UCW is purchasing 250 white mugs and 18 matching cream and sugar sets that will be dishwasher safe.

- Ann Nielsen is renewing her certificate for food safety for the CEC kitchen.

- There is an ongoing search for a new fridge for the CEC kitchen. The UCW cannot find one locally to suit their needs so they are investigating other suppliers.

 

G) Pastoral Charge Supervisor’s Report - John Lea reported that he has been appointed as the Pastoral Charge Supervisor for each of Brookdale United Church and Neepawa United Church to the end of June. A motion was passed by the Region and we have received a job description including remuneration. The Larger Parish will pay John’s mileage and incidentals until the end of March and each church will pay separately starting April 1, 2019. Also it was decided that after the end of March, each church will pay for its own pulpit supply.

 

H) Trustees – no report

 

I) Worship Committee –Pat Fedoruk reported.

- The Worship Committee met March 12.

- Posters for Holy Week music, April 15 to 18, will go up April 1.

- A motion was made and passed to advertise on NACTV for up to 7 days before Holy Week.

- There is a poster listing Lenten events on Wednesdays in March at other churches in Neepawa. Check at the back of the Church.

- Communion will be on Palm Sunday, April 14.

- No further updates on summer services with the Anglican Church

 

J) Stewardship Bert, Jane, Susan, Pat and Brian Elgert are phoning 2018 donors to thank them. Bert and Pat reported that they felt that the people phoned appreciated the calls.

 

K) Regional - Susan has nothing to report.

L) Special Reports - none

M) Acceptance of all reports was moved by Susan and seconded by Judy. Carried

7. Old Business:

A) Disposition of Neepawa and Area Larger Parish funds – done under Treasurer’s Report.

B) Spring Supper

The Spring Supper is on April 14. Cost is $15. Bert reported that the meat and potatoes have been ordered

and the BBQ will be available. Posters are being prepared.

 

 

 

 

8. New Business

A) A.A .Meeting Request

A motion was made and passed to allow the local A.A. group to meet weekly at the Church at a cost of $30 per night.

B) Hiring Staff for April 1 – Done under M & P Report

C) Committee on Community of Faith Support for Prairie to Pine Region

- Communication from this Committee indicated necessary steps that we must take to prepare a Covenant between our Community of Faith and the Prairie to Pine Region. Susan indicated that she will work on a draft Covenant and email to Board Members before the next Board Meeting.

- Other requirements already done are submission of the Annual Report to the Committee and completion of the worksheet for the Prairie to Pine Regional Council Database.

 

9. Susan shared a moment of levity.

Motions

 

#1 Motion made by Brian Bailey and seconded by Ella Jarvis. That the Neepawa United Church mail be picked up by the Secretary and directed to the appropriate persons. Carried.

#2 Motion made by Brian Bailey and seconded by Judy Elgert. That those doing Church business use the second office (library) thus leaving the main office available for daily traffic. Carried.

 

#3 Motion made by Susan Phillips and seconded by Jane Goudie. That we employ Dawn Gardy as Office Manager of Neepawa United Church effective April 1st, 2019. Job description to be formalized. Hours and pay to remain as now. Carried.

 

#4 Motion made by Bob Durston and seconded by Brian Bailey. That Neepawa United Church accept the Proposal for Distribution of Financial Assets of the Neepawa and Area Pastoral Charge with distribution of the Internship and GIC by April 5 and the chequing account portion be distributed after final cheques clear.

Carried.

 

#5 Motion made by Pat Fedoruk and seconded by Jan Bailey. That the Worship Committee advertise for Holy Week music with NACTV during the necessary days, up to 7, preceding Holy Week(April 10-14) events.

Carried.

 

#6 Motion made by Susan Phillips and seconded by Ella Jarvis. That we allow the local A.A. group to resume Thursday evening meetings. The cost to be $30.00 per week to cover cost of custodian to open the door. Carried.
