MEETING OF THE BOARD

Neepawa United Church

May 21, 2019

 

Present: Bert Lowry, John Lea, Bob Durston, Pat Fedoruk, Susan Phillips, Brian Bailey, Jane Goudie, Brian Elgert, Ella Jarvis, Jan Bailey, Nora Kaye, John Douglas, Linda Hart

 

1. Call to order – Bert called the meeting to order at 7:00 p.m.

2. Opening Meditation John related a story about experiences with youth at church camps, followed by a poem by Mary Oliver entitled “Sunrise”.

3. Adoption of the Agenda – Brian Elgert moved adoption of the agenda with the following two changes, seconded by John Douglas. Carried

Add Item 7A) Congregational Meeting May 5

Change 8B) to Photographs of the congregation/Church directory.

 

4. Adoption of the Minutes – Pat moved adoption of the April 16, 2019 minutes, seconded by Brian Bailey.

5. Correspondence

A) Rita sent a report of her activities for April: Country Meadows – 4 visits; Homes - 13; funerals - 3; Sunday services – 4(including Maundy Thursday and Good Friday); meetings – 1; Hospital – 2; Elks Manor - 3

B) A newsletter produced by “Water Ambassadors” featuring work done repairing wells by Bert Lowry’s brother in Honduras.

 

6. Committee Reports

A) Pastoral Care – no report

 

B) Mission & Service Susan reported that Leona Kuchar is a new member on the Committee. They are working on a project for fall. One idea was to collect coins. Susan will look into it.

 

C) Ministry & Personnel – Brian Bailey

- Brian reported that the names of the M&P Committee will be posted on the bulletin board at the back of the Church. The Committee will accept only signed concerns and asks that they be given to one of the M&P committee.

- A motion was made and passed for Dawn to take holidays Aug 6 to 28. We need to work on a plan for how to fill in when she is away.

- Brian gave us an update on the search for a new minister. The Neepawa United Church ministry profile document is on the HUB. This is a location on the internet where ministers can find information about job postings. An ad will be placed in the Sept. Broadview magazine advertising for a minister.

D) Treasurer – Bob distributed the statements to April 30, 2019

Income $48,995.27

Expenses $48,786.84

Surplus $ 208.43

Moved by Bob, seconded by Brian Elgert that the Treasurer’s Report be adopted. Carried

- Bob reported that the profit made at the Spring Supper was $3,464 compared to $3,485 in 2018.

 

E) Property John Douglas reported

- Bob Hockin has replaced -the air conditioning unit for the meeting room.

- Pat Baker graded the parking lot.

- Touchwood clients are doing spring cleanup of the Church grounds.

6E) continued

- The Board agreed to have carpets in the CEC cleaned.

- John will get a price to have the floor in the choir loft sanded and sealed.

- The bottom of the spruce tree in front of the CEC will be trimmed.

- John pointed out that when the furnaces are being replaced we can either install a B vent in the current chimney for the two 40 gallon gas water heaters at a cost of $4,000 or install one 80 gallon electric hot water heater at a cost of $2,000. The Board opted for the 80 gallon tank.

- The Board agreed that a programmable WIFI thermostat would be included.

- John will place an ad in the Banner for invitation to tenders for the two furnaces and hot water heater and programmable WI-FI thermostat.

- A motion was made and passed that John Douglas, Bert Lowry and Bob Durston be given the authority to approve a tender up to a cost of $20,000.

- A motion was made and passed to ask for a tender to have the CEC and kitchen painted. John Douglas and Jane Goudie to review where painting is needed.

 

F) UCW Nora reported that 250 cups have been ordered from Neepawa Home Hardware and should be in this month. The soup and sandwich luncheon held on May 9 was a success and 126 people attended. The bake table/donations made $599. Total profit was $1,748.84. Discussion took place about changing the format for this event. Nora and Jan attended a food preparation meeting.

 

G) Pastoral Charge Supervisor’s Report

- John Lea queried the status of the Covenant between the Neepawa United Church and Region 5. Susan reported that she has a few changes to make and will then e-mail to the Board and forward to Region 5 by the end of May.

- John’s term as pastoral supervisor will last until there is a new minister at our church.

- John is away June 22 to the end of the first week in July.

- John will be attending the regional meeting in Brandon in June.

- John will be submitting travel expenses for April to June.

- Brian Bailey asked John to keep track of the number of hours that he spends at meetings for the Neepawa United Church.

H) Trustees – no report

 

I) Worship Committee –Pat Fedoruk reported.

- The Worship Committee met May 14.

- They reviewed Holy Week lunch time music. Attendance was a little higher and they will continue the event next year. Rita Friesen thanked us for the gift card that she received for doing the Maundy Thursday Service.

- A motion was made and passed to approve the transfer of membership of Joy Walker from the Neepawa United Church to the Minnedosa United Church.

- May 26 will be the last Sunday School class until school resumes in September.

- The annual Church picnic will be held in the CEC on June 9. It is a free lunch to which everyone is welcome. The Committee would appreciate any help from Board members at the luncheon.

- The Committee is working on high school graduates recognition on June 23. Any graduates that were baptized in our church will be sent a congratulatory card and Rita will have a prayer for all graduates.

- Dawn often gets requests for marriage certificates and baptismal certificates. It was decided that marriage certificates should be obtained from Vital Statistics Manitoba. Pat will look into requests for baptism information and whether there should be a charge.

- The Anglicans will be worshipping with us in July at 10 am. Communion is scheduled for July 14. Sunday services in August will be hosted at St. James Anglican Church at 11 am.

- A question came up about activities and supervision for children present at Church when there is no Sunday School. Pat will take this back to the Committee.

 

6J) Stewardship - nil

K) Regional – Watch for the covenant document that Susan will be e-mailing to Board members. Donna Newton and Susan will be attending the Regional meeting in June.

 

L) Special Reports - Brian Bailey reported that the HIMS sang at the NACTV fundraiser and raised over $350.

- Brian Elgert reported that Nick Eu has resigned as the audio visual operator. Judy Elgert is looking for a replacement. Let her know if you have any suggestions.

M) Acceptance of all reports was moved by Brian Elgert and seconded by Jane. Carried

7. Old Business:

A) Congregational Meeting May 5

The Congregational Meeting on May 5 passed two motions, one to receive the Ministry Profile Committee report and the second to ask the Prairie to Pine Region’s Pastoral Relations Commission to approve the start of our search for a new minister.

 

8. New Business

A) Jerrold Nikolaisen concert request

Brian Bailey will suggest to Jerrold that he make inquiries at Arts Forward.

B) Photographs of the congregation/Church Directory

The last church directory was in 2010. Bert checked into the company offering to do the photographs. There is no obligation for individuals to purchase photographs and there is no cost for the Church Directory. A suggestion was made to wait until 2020. Another suggestion was to have local photographers do the pictures. This item was tabled.

C) Parking lot space

Bert spoke to neighbours asking them not to park vehicles in the church parking lot and they have complied.

Motions

 

#1 Motion made by Brian Bailey and seconded by Susan Phillips. That Dawn take her holidays (3 weeks) from August 6 to 28. Carried.

#2 Motion made by Brian Elgert and seconded by Brian Bailey. That Bert, Bob and John Douglas will make decisions on hot water heater, furnace, etc if tender is under $20,000. Carried.

 

#3 Motion made by Jane Goudie and seconded by Brian Elgert. That we get a quote to paint the CE building including CE, kitchen, entrance way(up and down), coat rack area, bathrooms, fire escape entrances, the same colour as it is now – two coats. Carried.

 

#4 Motion made by Pat Fedoruk and seconded by Susan Phillips. That the Neepawa United Church Board approve the transfer of membership of Joy Walker from Neepawa United Church to Minnedosa United Church. Carried.
